1. Controller

VIP Codec Solutions (license administration) is the data controller for personal data processed through the VIP License Manager and license issuance workflow.

2. Data we process

• Account data (admin username, login timestamps, IP addresses for security)
• License registry (machine fingerprint, machine code, customer name/email, tier, technical limits)
• Audit logs (actions performed in the license portal)

We do not require end-viewer personal data for licensing.

3. Purposes and legal bases

• Contract performance (Art. 6(1)(b) GDPR) — issuing and supporting licenses
• Legitimate interests (Art. 6(1)(f) GDPR) — fraud prevention, security monitoring, audit trails
• Legal obligation (Art. 6(1)(c) GDPR) — where applicable tax or accounting records apply

4. Retention

License and audit records are retained for the duration of the commercial relationship and thereafter as required by law or legitimate business needs (typically up to 10 years for accounting-related records where applicable).

5. Your rights

Under the GDPR you may request access, rectification, erasure, restriction, portability, and object to processing. You may lodge a complaint with your local supervisory authority. Contact details are provided in your commercial agreement.

6. Security

We apply access controls, encrypted transport (HTTPS), CSRF protection, rate limiting on authentication, and separation of signing secrets from customer installations.

7. Processors and transfers

Hosting providers may process data on our behalf under Article 28 GDPR agreements. Transfers outside the EU/EEA use appropriate safeguards (SCCs) where required.
